University of Texas Offers Digital Ticketing and Access Management Technology  

Business Challenge: The Frank Erwin Center at the University of Texas wanted to enable customers to instantly receive tickets via print-at-home fulfillment. The box office also wanted to instantly validate tickets and record attendance data for all events.

Solution: The University decided to leverage digital ticketing and Access Management technology for all events at the Frank Erwin Events Center.

Steps Taken

• Implemented Access Management

  • Installed Access Management at the Frank Erwin Center for all basketball games, concerts, events and the Austin Wranglers games (arena football team).

Enabled Instant Ticket Fulfillment

  • Validate bar-coded tickets at the gate.
  • Offered print-at-home tickets to alleviate the stress on the Texas box office by having fans purchase and receive their tickets at home.
  • Scanned mag-stripe cards for students enabling them to bypass the box office and will call lines to pick up tickets.

• Trained the Staff

  • Trained the staff to use the system in less than one hour.
  • Educated staff how to reset the handhelds to be ready for a new event.
  • Quickly trained greeters how to scan tickets at the gate.
 
Value Realized
• Offer Customers Advanced Digital Ticketing Services
  • Enabled patrons to purchase print-at-home tickets reducing fulfillment costs.
  • Scanned mag-stripe cards for students eliminating the need to print student tickets.
  • Generated additional revenue by pricing fees based on different delivery methods.

Track Real-Time Attendance

  • Scanned every ticket for each event at the Frank Erwin Events Center. (Attendance is between ~ 16,000-18,000).
  • Validated all tickets instantly at the entrance.
  • Tracked attendance and no show data.
  • Generated reports in real-time to view entrance patterns.

• Improve Operational Efficiencies

  • Eliminated long lines to enter the building at the last minute.
  • Increased the flow of traffic to the Erwin Center.
  • Enabled greeters to "fan out" tickets and scan them consecutively for quick access.
  • Equipped greeters with handheld scanners to ease staffing at high traffic entrances.

• Increase Sponsor Value via Print-at-Home Tickets

  • Increased sponsorship value by increasing customer impressions via print-at-home tickets.
    • Secured sponsorship from Taco Bell.
    • Offered free crunchy Taco to all fans that purchase print-at-home tickets.
  • Encouraged customers to use print-at-home delivery method.
