Topic: Season Ticket Transfer Policies
Post: We only allow transferring of season tickets to spouses. We are curious to see what other schools are doing. Do you transfer to immediate family? Anybody? Any fees associated with transfers of season tickets?

Reply: We also only allow transfers to a spouse at this time. However, we opened a one year window in 2004 when people could transfer their tickets to anyone for a $500 per fee donation. This was done in conjunction with the launch of our preferred seating program. We made over $6 million dollars from these donations.
Topic: Does anyone use promo codes?
Post: Does anyone use "Promo Codes" in eVenue? If so how do you set them up?

Reply:
We use Promo Codes ALL the time. They're a great way to give a special offer to a select group of people.

If you don't currently have Promo codes on eVenue make sure you talk to your client partner to get everything set.

Setup is in tRes under Maintenance: >System >Internet Setup >Presales and Promos >Promos >Promos Entry. From there it's pretty similar to other setups, but Customer Service can walk you through it if you get stuck.
Topic: Season Renewal & New Subscriptions Timeline
Post: How far out from the first performance of a new season are your season renewals sent out to current subscribers? Additionally, how much time elapses between your renewal campaign and the start of your acquisition campaign?

Reply: We start our renewal campaign in March. It continues through April and May. We begin our "new" subscriber campaign concurrently in May. We then do one final push via telemarketing (called the resister campaign) to un-renewed subs in June. Until our renewal/resister campaign is completed, we will sell new subs, but they are not seated. Our season begins in Mid to late August or early September and ends in mid July.
Topic: Box Office Fees

Post: It is almost a given now that the promoter will require credit card fees to be put on top and not reimbursed to the facility. We currently do not charge a convenience fee at the box office, so we do get our credit cards reimbursed at the window only. How many are keeping a point of sale (box office window) where there are no fees? Or, do you put fees on the window also?

Reply: We build a charge table with either CC built-in or off at settlement.

Example:

  • Base charge: $4.75
  • CC recovery: $1.25
  • City Surcharge: $2.14
  • Artist Fee: $1.00
  • Total Convenience charge: $9.14 per ticket
Topic: Priority Points Formulas

Post: I am trying to get an idea of how many other institutions use length or years of consecutive giving in the priority point formula. We're investigating because we have heard from some of our longtime donors that their seats are getting worse, but they have given the longest and that we do not reward them for that. In an effort to "award" or recognize these types of donors we have thought about adding a parameter to our point program. I welcome any thoughts on this. Thx!

Reply: We do use consecutive years giving in our point system. Here's a breakdown:
